Information we may collect

Sharing information

We do not sell personal information. We may share it, where necessary and proportionate, with hosting, email and IT providers; insurers, auditors and professional advisers; consultants, contractors and other members of a project team; public authorities, regulators or law-enforcement bodies; and another organisation involved in a genuine business reorganisation. Recipients must protect the information and may use it only for the relevant purpose.

International transfers

Some technology providers may process information outside the United Kingdom. Where UK data-protection law requires safeguards, we use an applicable adequacy regulation or approved contractual protections, such as the UK International Data Transfer Agreement or UK Addendum.

How long we keep information

We keep information only for as long as it is needed for the purpose collected, including legal, accounting, insurance and professional requirements. Typical periods are:

  • general enquiries: up to two years after the last meaningful contact;
  • client and project records: generally six years after completion, or up to twelve years where an appointment is executed as a deed or a longer period is otherwise required;
  • financial and tax records: normally six years after the relevant accounting period;
  • unsuccessful recruitment applications: normally six months, unless you agree to longer retention; and
  • routine website security records: normally no longer than twelve months, unless required to investigate an incident.

Your rights

Depending on the circumstances, you may ask us for access to your information or request correction, erasure, restriction, portability or an objection to processing. You can withdraw consent at any time where we rely on it. These rights are not absolute, and we may need to verify your identity before responding. We do not use website visitor information to make solely automated decisions with legal or similarly significant effects.

A cookie is a small file placed on a device when a website is used. Joomla may use a first-party session or security cookie where it is strictly necessary to deliver a requested feature securely; these cookies are not used for advertising and normally expire with the browser session. With your permission, we also use Google Analytics to understand website use and improve our content.

Data complaints

How to raise a concern.

If you think we have not handled your personal information properly, email enquiries@exedra-architects.co.uk with the subject “Data protection complaint”, or write to the studio address below. Please explain what happened, the information involved and the outcome you would like. We may ask for proportionate proof of identity or authority.

We will acknowledge a data-protection complaint within 30 days, investigate it without undue delay, keep you informed where appropriate and explain the outcome and any action taken.

You may also complain to the Information Commissioner’s Office. Visit ico.org.uk/make-a-complaint or call 0303 123 1113. We would appreciate the opportunity to address your concern first.
